Information About Site Rental

Patrick Henry’s Scotchtown is best known as the home of Patrick Henry during the tumultuous years leading up to the American Revolution.  It was at Scotchtown that he formulated the ideas of his famous “Liberty or Death” speech and it was from the house that he rode to St. John’s Church in Richmond on March 23, 1775 to deliver it. 

Built around 1720 by Charles Chiswell, Scotchtown is architecturally unique.  It features eight large rooms and a central passage below a large, undivided attic.  The house is surrounded by reproduction outbuildings and gardens. 

Scotchtown was acquired by Preservation Virginia in 1958.  The house has been restored to its appearance during Patrick Henry’s life and is open for tours seasonally.  With open fields to be used however you wish, it is the perfect place to host your outdoor event or wedding and reception.

Our facility includes:

Scotchtown has sprawling acres in both the front and the back of the building to be used (within our guidelines) however the renter wishes.

There are no kitchens or restrooms available for use at Scotchtown so the renter will need to make these arrangements.

For weddings, we can offer an indoor dressing space available for the bride to get ready in. There is no bathroom located in this historic home's "dressing room".

Rental Fees:

Special Events Rental: $1,000

 

  • 8 hours for set-up, event and take down
  • Consultation and coordination with renter throughout planning
  • Ample parking is available in the parking lot and in various parking fields located directly next to the house.

Ceremony Only Weddings:  $1000

 

  • 2 Hours of Rehearsal time to be schedule the day prior to the wedding
  • 4 Hours of overseeing wedding set-up, wedding ceremony, and wedding tear down  on wedding day
  • Coordination with bride of wedding venue and set-up of wedding site
  • Consultations with bride throughout planning
  • Coordination with vendors that are part of wedding ceremony
  • Coordination of Bridal Party, Rehearsal and All wedding day activities

Weddings

 

Additional Rental Fees:

Site rental is available ONLY to Preservation Virginia members. Annual membership fee is $50 for an individual.  If you are not a member, there is a non-member fee of $75.
A $300 refundable deposit to Preservation Virginia will secure your reservation and due at the signing of the contract. This will not be applied to the total rental cost and will be retained by Preservation Virginia should you decide to cancel the reservation for any reason. Once the wedding has commenced with no damage, you will be issued back a check for the $300 within 60 days post event.
Rental includes at least three staff hosts for the event and a first-floor tour of the historic home for your guests after the ceremony during the cocktail hour.
$150 is charged for each additional hour or part thereof.

EVENT GUIDELINES

We have compiled the following information to help you in planning your upcoming event at Scotchtown.
Set up and clean up of the site is the sole responsibility of the Renter.  Scotchtown shall make the premises available to the Renter on the rental date in "as is" condition.  “As is” condition includes the state of the grounds and the historic house.
At the conclusion of rental, Premises must be returned to pre-rental arrangement with respect to the tables and chairs, etc., and the completion check list signed by both the site coordinator for Scotchtown and the renter or agent of the renter.  Failure by Renter to comply with the provisions in this paragraph will result in forfeiture of a portion or the entirety of the security deposit for cleaning and/or returning Premises to its pre-rental condition.
CATERING:  The client is responsible for selection and use of a caterer.  The caterer must present: proof of catering license, liquor license issued by Virginia ABC ( if not, you must obtain one), and training certificates for safe food handling and serving alcohol
General liability insurance in the amount of $1,000,000.
Dram liquor liability insurance in the amount of $1,000,000.
This information is required before the client submits a deposit to the caterer.  Failure by the client/caterer to submit appropriate documentation may result in the client’s deposit to the caterer being forfeited if the caterer is not approved.  Preservation Virginia assumes no responsibility and/or liability for monies forfeited by the client resulting from failure to submit necessary documentation and to obtaining prior approval of the caterer.
The caterer is responsible for providing all personnel, material, and equipment for the event.  The caterer is also responsible for (1) set-up and break-down of equipment and the kitchen prep area, (2) maintaining event space including but not limited to, quickly cleaning up any food or drink spills during event, (3) clearing away equipment, and (4) cleaning all event and prep areas within an hour of event’s end, (5) removing all trash from the premises after the event.
ALCOHOLIC BEVERAGES:  Must be provided by caterer or client.  If you provide your own beverages, the caterer must serve them.  All leftover beverages must be removed that evening. 
ILLEGAL SUBSTANCES:  The use of illegal substances is strictly prohibited.  In the event of such use, the site reserves the right to terminate the event immediately.  The client will forfeit the right to any refund.
DEPOSITS:  A $300 refundable deposit is required at the time the event is confirmed and the full amount of the rental due 30 days prior to the event.  Overtime must be arranged prior to the event and charges included in the final payment.  All contracts must be signed and received at the time the deposit is given.  Any damages incurred during the event will be billed to the client.
PROVISION OF STAFF AND EQUIPMENT:  Preservation Virginia will provide personnel from the site and state-wide office to assist with the event.  The responsibility of returning the site to its original condition rests with the client. 
STAFF: Events by Elizabeth Palmer is a contracted out company to help coordinate and facilitate on the day of your event. Once you have booked your date with Preservation Virginia, you are in contact with Events by Elizabeth Palmer staff to determine logistics of the site.
DISPLAYS AND DECORATIONS:  All displays and/or decorations proposed by the client must be freestanding and nothing can be attached to any of the walls, or doors either inside or outside the building and must be approved by a Preservation Virginia staff member.   All preparations for the event must be initiated on the date of the function.  Preservation Virginia is not responsible for any material left overnight. 
CANDLES:  Use of votives in enclosed candle containers is allowed but must be approved prior to your event by a Preservation Virginia staff member.  All other candles or open flames are strictly prohibited.
DECORATIONS: Renters are able to decorate however they please as long as all decorations are removed within one hour of rental agreement end time and no damage is done to Scotchtown or its ground. Glitter, confetti, streamers, rice & birdseed are prohibited.
 LIABILITY:  The client assumes full responsibility for the conduct of persons attending the event and for any damage done to any part of Patrick Henry's Scotchtown.  The client indemnifies and holds harmless Preservation Virginia staff and any other staff during your event against any and all claims, liabilities, or costs in conjunction with this event.  Any decorations or beverages remaining at event end must be removed that evening.  Scotchtown is not responsible for any damages done before, during, or after the event.
