Special Event and Wedding Rental at Smith's Fort

Thank you for considering Smith’s Fort Plantation for your event.   The site’s historic architecture and manicured lawn provide a beautiful setting for any function. The plantation is located on the site of Captain John Smith’s planned “New Fort”, and sits nestled in the land given by Chief Powhatan as a dowry for his daughter, Pocahontas upon her marriage to John Rolfe in Surry County.  The plantation home, built between 1751-1756 by Jacob Faulcon, of Flemish Bond brick has a charming interior that retains much of its original woodwork and provides fine example of early American and English period furnishings from the late 16th through the early 18th centuries. Our state-wide Preservation Virginia staff will work closely with you to ensure your event’s success.

 Our facility includes:

Smith’s Fort has a beautifully manicured lawn in the front of the manor house and a historic garden overseen by the Garden Club of Virginia in back of the manor house to be used for special events and weddings.

Both walk-through and guided tours can be arranged for your guests

There are no kitchens or restrooms available for use at Smith’s Fort so the renter will need to make arrangements for guests.

For weddings, there is an indoor dressing space available for the bride to get ready in. There is no bathroom located in the dressing room building.

  • 4 Hours of overseeing wedding set-up, wedding ceremony, and wedding tear down  on wedding day
  • Coordination with bride of wedding venue and set-up of wedding site
  • Consultations with bride throughout planning
  • Coordination with vendors that are part of wedding ceremony
  • Coordination of Bridal Party, Rehearsal and All wedding day activities
  • Hour for self-guided tours of the historic home

Ample parking is available in the parking lot and in various parking fields located directly next to the house.

 

Rental Fees:

Site rental is available ONLY to Preservation Virginia members. Annual membership fee is $50 for an individual.  If you are not a member, there is a non-member fee of $75.
A $300 refundable deposit to Preservation Virginia will secure your reservation and due at the signing of the contract. This will not be applied to the total rental cost and will be retained by Preservation Virginia should you decide to cancel the reservation for any reason. Once the wedding has commenced with no damage, you will be issued back a check for the $300 within 60 days post event.
Rental includes at least three staff hosts for the event and a first-floor tour of the historic home for your guests after the ceremony during the cocktail hour.
$150 is charged for each additional hour or part thereof.
Rental includes at least three staff hosts for the event and an hour for self-guided tours of the historic home for your guests. Additional guided tours and extended self guided tours can be arranged for an additional fee.
Set up and clean up of the site is the sole responsibility of the Renter.  Smith’s Fort Plantation shall make the Premises available to the Renter on the rental date in "as is" condition.  “As is” condition includes the state of the grounds. The grass is mowed biweekly, and is kept to a length appropriate to this historic site. Under no circumstances will the renter or his/her agents be permitted to mow the grass.
 At the conclusion of rental, Premises must be returned to pre-rental arrangement with respect to the tables and chairs, etc., and the completion check list signed by both the caretaker for Smith’s Fort Plantation and the renter or agent of the renter.  Failure by Renter to comply with the provisions in this paragraph will result in forfeiture of portion of security deposit for cleaning and/or returning Premises to its pre-rental condition.
 CATERING:  The client is responsible for selection and use of a caterer. We will require proof of catering license and liquor license issued by Virginia ABC, training certificates for safe food handling and serving alcohol, general liability insurance in the amount of $1,000,000. and dram liquor liability insurance in the amount of $1,000,000.
This information is required before the client submits a deposit to the caterer.  Failure by the client/caterer to submit appropriate documentation may result in the client’s deposit to the caterer being forfeited if the caterer is not approved.  Preservation Virginia assumes no responsibility and/or liability for monies forfeited by the client resulting from failure to submit necessary documentation and to obtaining prior approval of the caterer.
 The caterer is responsible for providing all personnel, material, and equipment for the event.  The caterer is also responsible for (1) set-up and break-down of equipment and the kitchen prep area, (2) maintaining event space including but not limited to, quickly cleaning up any food or drink spills during event, (3) clearing away equipment, and (4) cleaning all event and prep areas within an hour of event’s end.
ALCOHOLIC BEVERAGES:  Must be provided by caterer or client.  If you provide your own beverages, the caterer must serve them.  All leftover beverages must be removed that evening. 
 ILLEGAL SUBSTANCES:  The use of illegal substances is strictly prohibited.  In the event of such use, the site reserves the right to terminate the event immediately.  The client will forfeit the right to any refund.
 DEPOSITS:  A $300 refundable deposit is required at the time the event is confirmed and the full amount of the rental due 24 hours prior to the event.  Overtime must be arranged prior to the event and charges included in the final payment.  All contracts must be signed and received at the time the deposit is given.  Any damages incurred during the event will be billed to the client.
  PROVISION OF STAFF AND EQUIPMENT:  Preservation Virginia will provide personnel from the site and state-wide office to assist with the event.  The responsibility of returning the site to its original condition rests with the client. 
 PARKING:  The Site’s grassy area can be used as a parking lot is available to you and your guests.  All guest and vendor vehicles must be out of the parking lot one hour after the contracted time.  No cars may be left in the parking area overnight.
 DISPLAYS AND DECORATIONS:  All displays and/or decorations proposed by the client must be freestanding and nothing can be attached to any of the walls, or doors either inside or outside the building and must be approved by a Preservation Virginia staff member.   All preparations for the event must be initiated on the date of the function.  Preservation Virginia is not responsible for any material left overnight. 
 CANDLES:  Use of votives and/or enclosed candles is allowed but must be approved prior to your event by a Preservation Virginia staff member.
  LIABILITY:  The client assumes full responsibility for the conduct of persons attending the event and for any damage done to any part of Smith’s Fort Plantation.  The client indemnifies and holds harmless Smith’s Fort Plantation against any and all claims, liabilities, or costs in conjunction with this event.  Any decorations or beverages remaining at event end must be removed that evening.  Smith’s Fort Plantation is not responsible for anything left overnight.
